(1) Full Time IT Assistant, Chichester office
An exciting new opportunity has been created for a full time IT Assistant to join our Firm, based within Chichester office. Previous certificate or experience of working in an IT Services or Support Desk role is not essential however may be beneficial.
This is a newly created in-house IT support desk role, working alongside our IT manager and IT partner. The successful candidate will provide efficient, friendly and proactive support within all our offices, whilst demonstrating a willingness to learn the wider IT function and offer flexible support to the IT manager. The successful candidate must have good English and Maths (GCSE grade 5 or equivalent), as well as be computer-literate for hardware and software. Prior experience of coding would also be desirable.
Provision of full IT support duties to include but not limited to:
- Working alongside the IT manager and IT partner with tasks delegated to you.
- Assisting with the development of Linetime case management system.
- Composing and responding to e-mails from the IT Support mailbox, assisting where possible and if required reporting and monitoring tickets with our 3rd party IT provider.
- Using the case management and filing database.
- Data-inputting and checking data is accurate and grammatically correct.
- Supporting the IT setup and IT induction training for all new starters, to include setup of workstations and desk equipment (screens, terminals, foot pedals, headphones etc), setup of email access and system logins, access to team members mailboxes and calendars, telephones and voice message system, linetime CMS, bighand, Adobe PDF bundles, and any other relevant 3rd party IT accesses as required.
- Supporting the overall Firm with ongoing training and support of all current staff members for IT services such as CMS, dictation, mobile devices, 3rd party websites such as but not limited to linetime and access workspace etc.
- Providing assistance for the internal staff intranet.
- Provide assistance with staff leavers; to remove external access to IT systems, manage licences etc.
- Working on ad-hoc projects as directed by either the IT manager or IT partner.
- Flexibility with travel between all offices.
- Be familiar with Microsoft Office and willing to learn the use of other programmes.

(2) Conveyancing Administrator, Fareham office
We have an exciting opportunity for a full-time administrator to join our Client Administration Team working within the Residential Property department based at Fareham, Hampshire with possible hybrid working.
While legal experience is not essential, as full training will be provided, previous administrative office experience would be desirable. The successful candidate must have good English and Maths (GCSE grade 5 or equivalent), as well as be computer-literate with some experience in Microsoft Office or equivalent.
Joining our friendly and supportive team, you will provide key administrative support to the wider conveyancing department, working closely with colleagues to help deliver an excellent client administration service and support the ongoing success of Glanvilles LLP.
Provision of full administration support to include but not limited to:
- To give strong and consistent administration support for the firm's Residential Property teams activities.
- Conveyancing post-completion work.
- Providing cover for completion department.
- Registration work and liaison with the HM Land Registry.
- Online client support.
- Client file opening workflow.
- Client file closing workflow, including compliance with archiving procedures.
- Maintaining accurate and efficient deeds database for retrievals and storage.
- General ad-hoc administration.
- General office equipment such as photocopying, scanning, printing and franking machine.
- Use of Microsoft Office as well as third party software as appropriate.
- One-off projects which are best dealt with by a team approach.

(3) Residential Property Legal Assistant, Fareham office
A new exciting opportunity has arisen for a full time Legal Assistant to join our friendly and hard-working Residential Property department, based within Fareham, Hampshire. Previous conveyancing secretarial or administrative experience is essential.
Provision of full secretarial support to include but not limited to:
- Dealing with clients by phone and in person to arrange appointments, take messages and generally to assist client matters.
- Proactive filing and assistance of the client files including physical and electronic documentation, in compliance with the firm’s filing and case management procedures.
- Providing support to the department (to include other offices of the firm remotely or by attendance) to progress matters to exchange of contracts and completion.
- Use of the scanners, photocopiers and post room equipment.
- Preparation of regular reports as required.
- As well as undertake all work necessary from exchange of contracts through to completion on property files for the Property Department as delegated by fee earners to include but not limited to:
- Willingness to learn how to deal with exchange of contracts.
- Drawing up all necessary documentation and correspondence between exchange of contracts and completion.
- Effecting all necessary pre-completion searches.
- Redemption of charges and drawdown of mortgage funds.
- Effecting all necessary accounting work involved in exchange and completions.
- Effecting all necessary work on the day of completion.
- Assisting with post completion registrations and requisitions.
- File opening and quotations.
- Updating the lender and referral panels case management systems.
- Liaising with Third Parties in connection with conveyancing matters for the Team by phone, email and letter.
